Tips & Information

Here are some helpful tips that will help you enjoy your Alderman Capital experience and avoid any unnecessary charges.

Rent

Rent is due on the first of every month to Alderman Capital. We accept cheque, money order, or debit for rent payment. We also provide the options to sign up for automatic withdrawal from your bank account. NO CASH ACCEPTED FOR PAYMENT OF RENT. Our office is located at 830 Scotland Avenue, Winnipeg MB R3M 1X7. If you are mailing in a cheque or money order please make sure your name and address is on the front of your cheque or money order.

Move-in Procedure

For your protection please ensure that a Move-in report is completed in your presence and you are given a copy of the report.

Move-out Procedure

Move-out must be scheduled with your Resident Manager in advance. A Move-out report must be completed and keys returned in order for your security deposit to be refunded.

Rent Receipts

Alderman Capital will provide rent receipts free of charge at the time of payment. Alderman Capital will provide a tax receipt at year end, with an administration charge of $25.00 CASH ONLY (subject to change). Receipts will only be issued with no outstanding balance on the account. Please keep your receipts in a safe place to avoid this charge. If payment is made by mail, your cancelled cheques are an acceptable form of receipt.

Emergency Issues

For Fire or Police, dial 911. For other emergencies, please contact your Resident Manager first. If you cannot reach your Resident Manager, please call the Alderman Capital Office at 204-633-8787. Alderman Capital has an Emergency Maintenance Manager on call after-hours. Simply follow the call prompts for assistance. A $50 service charge for calls deemed a non-emergency by the Emergency Maintenance Manager will apply. Emergencies that cannot wait until the next business day may include, but are not limited to, FLOODING and NO HEAT.

Insurance

All tenants must purchase tenant insurance as Alderman Capital is not responsible for any damages to tenants’ belongings, unless the damage was caused by Alderman Capital’s negligence. For example, if the tenant living above you has a flood and the water from the flood enters your suite, any damage to your personal belongings would not be Alderman Capital’s responsibility.

Points to Remember

  1. Garbage – Please respect your neighbors and discard your refuse in the designated area, not in the hallways or on fire escapes.
  2. Painting – We DO NOT allow painting in the suites.
  3. Locks – We DO NOT allow tenants to change their locks. City of Winnipeg Fire Department regulates that landlords are to have access to all suites at all times.
  4. Refrigerators – Tenants must refrain from using sharp objects to defrost the refrigerator as there is a chance that the freon line can be punctured. If the tenant damages the refrigerator, the tenant will be charged to repair or replace it.
  5. Plumbing – Tenants should report any leaks immediately to their Resident Manager. (A small drip could cause major damage.)
  6. Pets – Cats may be allowed on a Case by Case approval basis. Cats must be neutered or spayed. Dogs are not permitted.
  7. Maintenance – Tenants should report any maintenance requests to the Resident Manager. Tenants have a responsibility to maintain their suite. Alderman Capital reserves the right to charge for these services.

Assignment of Tenancy

If a tenant wishes to vacate the premises prior to the expiration of their lease, the tenant must sign the “Assignment of Tenancy” agreement and pay a service fee of $75.00 (subject to change). The tenant will be responsible for these premises until such time that the new approved assignee takes possession of the unit. Proper move-in/move-out procedure must be followed.

Security Deposits

Security deposits will be refunded to the names recorded on the lease only. It will not be divided into portions to each tenant. Please note that security deposits are NOT transferable. Deposits are payable after the 14th of the following month, and mailed to your forwarding address.

Leading / Addition or Deletions of Tenants from Lease

Roommate changes require a signed “Assignment of Tenancy” form filled by all new applicants and a letter outlining the changes being requested signed by all the current lease holders. Also, there is a $75.00 (subject to change) administration charge.

Alderman Capital PRIVACY POLICY

Alderman Capital understands the importance of your privacy and the sensitivity of your personal information. We are committed to protecting any of your personal information we hold. Our privacy policy outlines how we manage your personal information and safeguard your privacy.

WHAT PERSONAL INFORMATION DO WE COLLECT?

We collect information from you several ways. Some personal information is gathered when a prospective tenant signs our standard tenant application for a residential or commercial tenancy agreement. Tenants are required to provide credit, rental history, employment information as well as other personal information to be used for identification and qualification purposes. Other information such as emergency contact information may be required in order to respond to medical or other emergencies in connection with a tenant, unit or suite. Also, information relating to any vehicles owned by a tenant may be collected to assist in the enforcement of any parking rules or regulations. We also collect information from any covenanter or guarantor of any lease, including information relating to credit and employment information, present and past living accommodation and other personal information. In addition, personal information may be collected in an application to assign or transfer a lease in respect of the prospective assignee, including any and all personal information referred to in the original application for tenancy.

WHY DO WE NEED PERSONAL INFORMATION?

The personal information collected is used to check prior rental references from all previous landlords, conduct credit checks and to confirm employment with your employer and salary, all of which information is required to determine your suitability and qualification as a tenant.

CONSENT

In most cases, we will ask you to specifically consent if we collect, use or disclose your personal information other than as provided for in our privacy policy as amended from time to time. Normally we would ask for your consent in writing or orally. Sometimes your consent may be implied through your conduct with us. In all cases where you submit a tenant application, your consent will be requested in the application itself.

DISCLOSURE OF YOUR PERSONAL INFORMATION

We use the personal information collected only for the purposes outlined above. Under certain circumstances we will disclose your personal information to third parties such as:

  1. When we are required or authorized by law to do so; for example, if a court issues a subpoena;
  2. Where you have consented to the disclosure;
  3. When an order to comply with the requirement of the tenancy agreement or regulatory legislation such as The Residential Tenancies Act requires us to do so, your consent will be implied;
  4. Where it is necessary to enforce the terms of the tenancy agreement, such as collection of rental arrears;
  5. If we engage a third party to provide collection of enforcement proceedings, such as an authorized officer of the Residential Tenancies Branch, lawyers, bailiffs or collection agencies;
  6. If the information is already publicly known;
  7. On termination of a tenancy, we may disclose information relating to your tenancy to other landlords upon their request;
  8. Your landlord, where we act as agents only for the landlord;
  9. Any subsequent landlord, owner or mortgage holder of the property which you rent, including any assignee of your lease. or to any subsequent property manager of the property which you rent

UPDATING YOUR INFORMATION

Since we use your personal information to provide rental accommodation to you, it is important that the information be accurate and up to date. If during the course of your tenancy any of your information changes, please inform us so that we can make any necessary changes.

IS MY PERSONAL INFORMATION SECURE?

We take all reasonable precautions to ensure that your personal information is kept safe from loss, unauthorized access, modification or disclosure. Among the steps taken to protect your information are:

  1. Access to your personal information is limited to our employees who require the information to perform their duties and those otherwise authorized by law.
  2. All of our employees are required to abide by our commitment to your privacy in the handling and use of your personal information.
  3. Premises security.
  4. Your personal information is retained only for the time it is required for the identified purposes and up to a period of five (5) years after the tenancy is terminated or is required by law. Personal information that is no longer required is destroyed.

ACCESS TO YOUR PERSONAL INFORMATION

You may ask for access to any personal information we may have about you. Requests should be submitted in writing and we will reply within thirty (30) days of receipt of your request. You may verify the accuracy and completeness of your personal information and we will take reasonable steps to correct it.
